Payroll & Benefits Specialist
We are seeking an experienced payroll employee to join our growing organization. In this position, you will record and process payroll, ensuring accurate and timely processing. The Payroll & Benefits Coordinator must possess a strong understanding of payroll procedures, attention to detail, and excellent organizational skills to execute payroll & benefits operations effectively.
Required Qualifications
- BA degree preferred or AA degree with equivalent experience.
- 4+ years of multi-state payroll experience.
- Expert knowledge of ADP and payroll software is required.
- Strong knowledge of labor and tax laws and regulations.
- CPP (Certified Payroll Professional) is a plus

Core Responsibilities
- Processes multi-state, bi-weekly payroll in a timely and accurate manner.
- Acts as the primary contact for employee timesheets, payroll, and benefit inquiries.
- Reviews time entries for bi-weekly payroll processing and communicates with employees/managers to ensure all employee time is accurately accounted for before payroll is processed.
- Generates bi-weekly excel reports to validate timesheet and payroll data.
- Maintains accurate payroll records including required payroll garnishments and benefits.
- Runs financial and operational reports by compiling summary data of earnings, state and federal taxes, deductions, vacation, disability, etc. as requested.
- Reconciles financial data and validates reports pre and post processing.
- Provides reporting to the business on time and attendance compliance issues such as lunch break penalties, timesheet attestations, timesheet approvals, and active employees with zero hours.
- Assist with benefits administration and be able to resolve complex and escalated benefit issues
- Ad hoc reporting and analysis for various parties, vendor, and broker requests
- Ensure benefits deductions are correct each payroll by conducting high-level reviews
- 401(k) plan management: partner with vendor (Vanguard) to manage the administration of employee retirement plans, enrollment, communication, administration, and resolve issues associated with 401(k) administration. Assist in the efforts associated with tax and ERISA compliance audits and reporting.
- Assists with the calculation of missed hours or payroll adjustments.
- Completes weekly contract labor reconciliation for all agency partners.
- Monitors the payroll and benefits inbox and responds to employee inquiries, escalating as needed.
- Follows appropriate state and federal taxation of employer-paid benefits.
- Processes year-end reports, including W-2, W-2c, etc.
- Processes off-checks when required (separations, adjustments, etc.).
- Processes bonus payments, as required.
- Stays up to date with changes in labor laws and payroll-related legislation.
- Assists with coordinating and tracking employee leaves.
- Processes deductions for new hire benefit enrollments and life event changes in ADP.
- Processes evidence of insurability premium adjustments in ADP after provider approval.
- Assists with dependent audit verification process including monthly data import and reporting of non-verified dependents.
- Reviews benefit file feed errors and discrepancies on a weekly basis.
- Assists with monthly benefit billing review and reconciliation for all company benefits (Medical, Dental, Vision, Supplemental, COBRA, Life, 401k, etc.).
- Responds to payroll and benefits mail such as medical support notices, state disability verifications, employment verifications, and other wage/insurance verifications.
- Uploads and verifies CSV import files received from the HR dept. into the financial database when necessary.
- Maintains employee confidentiality and protects payroll operations by keeping all private information confidential.
- Other duties may be assigned to meet business needs

Salary Range: This position's estimated annual base salary is $75,000.00 - $90,000.00. Actual base salary will be dependent on individual’s skills, qualifications, and experience. This role is eligible for 401k Savings plan, Healthcare (medical, dental and vision), and other generous rewards.
