Summary The Executive Assistant to the CEO serves as the administrative point person for the President to ensure smooth functioning of activities in multiple lines of business. The person in this position must be a highly motivated self-starter, multi-tasker, detail oriented professional, capable of efficiently managing their time, workload and prioritizing tasks in a fast paced/high volume executive office. Full time availability with flexible hours is required as is absolute confidentiality regarding company, employee-specific and industry information.
Manages the day-to-day administrative affairs of the CEO’s office, scheduling meetings, appointments, conferences, speaking engagements and other commitments, including handling changes or cancellations as deemed necessary and/or appropriate.
Actively and proactively assists in the administration of the President/CEO’s time through schedule development, coordination & maintenance including the efficient utilization of a complex calendar of appointments, meetings, social engagements, travel itineraries and functions with individuals and groups. Will also maintain and track a detailed priority list of projects and engagements.
Provides the President with project background information and/or research, meeting summaries and supporting documents in preparation for scheduled appointments, meetings, deadlines, speaking engagements and travel arrangements. Will coordinate with other departments as necessary with written and verbal communications in preparation, execution and completion of deliverables as it relates to all functions of the President/CEO’s office.
Responsible for overseeing projects to ensure project deliverables and timelines are met. Work directly with team members on assigned tasks and provide project updates to all stakeholders.
Welcomes visitors, reviewing correspondence; arranging company dinners and other corporate functions; answering questions and meeting requests directed to the president.
Works with key executives to create, achieve and maintain informational project management dashboard.
Arranges Executive corporate travel and meetings by developing itineraries and agendas; booking transportation, arranging lodging and meeting accommodations along with securing proper and necessary credentials (all badges, entry passes & parking passes, etc.).
Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans in a timely manner.
Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
Accompany the CEO to events as required.
Other miscellaneous duties as required.
Supervisory Responsibility This position has no supervisory responsibilities.
Work Environment This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
The individual in this position will spend several hours sitting and using office equipment and computers, which can cause muscle strain. He/she may also have to do some light to moderate lifting of supplies and materials from time to time.
Schedule and Availability Unless other arrangements are made with supervisor, the individual in this position works a full-time schedule week during our open business hours. Additional evening and weekend hours are likely, especially during events and/or travel.
Travel Up to 10% travel is expected for this position. A current U.S. Passport is required.
Qualifications, Education and Experience
Bachelor’s degree or equivalent combination of training and relevant work experience
Experience in handling confidential information and maintaining confidentiality of sensitive information.
Proven computer and software use skills. Advanced knowledge of MS Office suite, Power Point, Excel and Microsoft Teams proficiency.
Interpersonal, organizational, time management and leadership skills .
