The Sales Operations Coordinator will perform sales administrative duties in the areas of advertising/sponsorship documentation, supporting the work of the sales team by facilitating communication with Trade Show department(s) and other department(s) if applicable. Assist in identifying and resolving any problems in the production process. Assist the Group Operations Manager with any special project when necessary.
RESPONSIBILITIES AND AUTHORITY
Manage the process of recording sponsorship contracts created by salespeople.
Keep inventory of all sponsorship products sold/available.
Notify stakeholder(s) when sponsorships sell to keep inventory live/accurate.
Notify the sales team of inventory availability weekly/daily (if necessary).
Oversee sponsorship maps for carpet ads, meterboards, aisle signs, banners, and laminates (PRI).
Create, maintain, and manage the sponsorship log(s) and distribute on weekly basis to appropriate stakeholders.
Ensure all the customer contact/business information is kept up to date.
Ensure that all artwork/deliverables have been turned in by proper deadlines.
Assist with the SEMA/PRI Sponsorship EMT report.
Send to Group Operations Manager (Sales VP Assistant), bi-monthly.
Assist with SEMA/PRI sponsorship invoicing process.
Assist accounting department (if necessary) in efforts for the collection of unpaid sponsorship payments.
Ensure all sponsorship deliverables have been paid before artwork has been submitted for production.
Alert sales rep of any unpaid sponsorship packages.
Assist with SEMA/PRI sponsorship financial allocations.
Work with the accounting department and the Group Operations Manager to create/update all line-item products offered.
Allocate all sponsorship package items into proper sponsorship/advertising budgeting accounts – Coordinate with Group Operations Manager (Sales VP Assistant).
Schedule department meetings.
Keep an organized file system of sales documents.
Create reports for business expenses.
Cross-training in below duties of sales assistant and advertising coordinator to assist when needed
Create contracts (sponsorship and advertising) in multiple platforms.
Manage raw reports generated in NetForum.
Publication production reports updates.
Responsible for coordinating all sales collateral. Work with SEMA/PRI Marketing teams.

SKILLS AND KNOWLEDGE REQUIRED
3+ years experience in an administrative role with communications and reporting duties
4-year college degree preferred.
Publication/events experience preferred
Excellent organizational skills and must be detail oriented.
Excellent verbal and written communication skills.
Strong experience in Microsoft suite.
