Provides administrative assistance and sales support functions for the PRI/SEMA sales industry directors.

RESPONSIBILITIES AND AUTHORITY

1. Process sales representative correspondence, reports and logs.
   1. Run advertising and exhibit sales reports, prepare sales/prospect/lead lists from NetForum data. 
      1. Specific Reports that must be managed by support team: SEMA Sponsorship log, PRI Sponsorship Log, Prospecting List, Comprehensive Account list by rep run out of NetForum, monthly PRI and PAPI ad sales run out of Net Forum, PRI Exhibitor List run out of NetForum, SEMA Exhibitor List run out of NetForum.
   2. Prepare and send personalized prospecting letters with magazine, media kit and exhibitor information.
   3. Enter new prospects into Net Forum and be able to cross reference existing accounts in Net Forum.
   4. Create and maintain Sponsor logs as directed by Sales Directors. Additionally, send out deliverable deadlines and follow up on missing artwork when directed.
   5. Manage, prepare and submit monthly expense reports for Sales Directors
   6. Update company information in NetForum as needed while making sure necessary teammates are notified in other departments. ie alert Tammy regarding PRI trade show, Tim in membership, etc. Research company information and add new employees as well as remove/replace outdated information.
   7. Manage travel coordination and budget (hotel, travel, meals, etc)
   8. Generate and reconcile sales summaries against multiple reports to ensure accuracy.
   9. Coordinate reporting information regarding current sales, historical comparisons, and forecasts and target markets for use by the Sales, Show and Publications departments.
   10. Attend SEMA/PRI shows, assisting reps and/or other duties assigned.
2. Input SEMA Care tickets to maintain office equipment (copier, fax, printer) and alert receptionist if new office supplies need to be ordered.
3. Prepare monthly editorial lead letters for advertising prospects for sales representatives
   1. Prepare lead lists based on editorial product categories, buyers guide product categories, and business code categories in accordance with editorial features.
   2. Send personalized letter or email and advertising rates to each lead.
4. Sponsorship & Advertising Contracts
   1. Input all PRI/SEMA Sponsorship, ESRA buys, Print, Web and SEMA Daily advertising contracts into Net Forum and Formsite data systems.
   2. Maintain contract files and follow up for signatures. Once signed and returned, add to logs and disperse to all departments that track the information.
   3. Input monthly ad insertion orders
   4. Follow up on all above with deliverable instruction and be sure all materials have been received and tracked on logs. Provide comprehensive assistance with sponsorships/advertising fulfillment when needed. For example, chasing artwork, confirming move in schedules and on-site support when directed.
5. Promotional Projects
   1. Email prospecting broadcasts
   2. Fax broadcasts
   3. Special mailing projects
   4. Special request projects from all sales reps/departments when all other required work has been completed.
6. Customer Service
   1. Provide customer service support by answering, screening, researching, and providing a timely response to incoming calls and emails from the public, attendees, exhibitors, advertisers, including assisting the Accounting Department by handling customer inquiries for monies owed, invoices, receipts and payment status.
7. Exhibitor Thank-You Card Mailing
   1. Prepare quantities and mailing list of current trade show exhibitors for sales representatives
   2. Create/ have labels printed and give to Receptionist to stamp and mail .
8. When requested by management, perform other assignments and duties as necessary.
