Position Summary: The Executive Assistant provides high-level administrative support to company executives by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings for executives.
Essential functions and responsibilities:
Complete a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; record, type and distribute meeting minutes; and compiling documents for travel-related meetings.
Communicates directly, and on behalf of the CEO, with Board members, staff, and others, on matters related to CEO matters
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of sensitive or confidential nature. Determines appropriate course of action, referral, or response.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO ability to effectively lead the company.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CEO, some of which may have organizational impact.
Creates and records processes and procedures in order to promote departmental and position improvements and efficiency.

Physical demands and work environment:
Physical demands: Ability to lift and move at least 25 lbs., sit for long periods working on a computer, climb stairs, stand for long periods, and walk short distances.
Work Environment: Includes both an indoor office environment and a warehouse environment which may be significantly colder or warmer than a normal indoor office setting. There may be brief period of loud noise from machinery.
Required to work a standard 40-hour work week and over-time as needed including occasional weekends.

2-3 years of experience supporting management and/or Senior Management level
Excellent verbal and written communication

International travel scheduling experience
2+ years of experience supporting C-Level Executives
